Office Coordinator
We are looking for an enthusiastic business-oriented human to join our team! We are looking for someone who can multitask, is willing to learn and adapt while able to go with the flow. We are hoping to grow our wellness services with your leadership, so please bring those leadership skills!
Essential Functions:
Greets, receives and escorts patients/visitors, and notifies necessary personnel of their arrival. Answers multiple phone lines and intercom, and communicates appropriately. Gives appropriate attention to complaints/requests as needed.
Provides clerical support for departmental meetings, projects and activities as needed.
Completes and forwards all required information, charts, records, documents as requested. Requests previous patient records from medical records as needed. Maintains department records, reports, statistics.
Orders and maintains an adequate inventory of all office supplies and equipment.
Identifies current status of patient's insurance, as well as range of benefits. Identifies and collects co-payments and limits of services for all patients.
Provides appropriate forms to billing and other departments. Assists with maintenance of office forms. Performs various confidential clerical duties including, but not limited to data entry, obtaining patient's signature for needed documents and/or consents forms, filing and answering phones.
Helps schedule patient appointments. Obtains all necessary billing, insurance and other demographic information.
Keeps waiting rooms neat, clean and organized. Communicates with those waiting.
Monitors panels for alarms and reports to appropriate person.
Provides coverage and/or assistance when necessary to maintain quality standards of the office.
Compiles information for reports, manuals, handouts and meetings as needed.
Assists with research and provides administrative support to special projects.
Trains and manages team members, coordinates team activities and creates a team environment for office
Works with physicians and business owner to coordinate schedule, adding services and bringing on new team members when necessary
Performs other job-related duties as assigned.
You'll be successful with the following qualifications:
Education:
High School Education/GED or equivalent: Preferred
Associate's / Technical Degree in business, healthcare or computer science or equivalent combination of education/related experience: Preferred
Work Experience:
Medical office training and/or experience: Required
Customer Service experience: Preferred
Business management experience: Preferred
Salary DOE: $15.75-$23/hr with opportunity for raise and bonuses.
Sample Work Schedule:
M-W 8am-4:30pm
Th 8am-12p
Fri 7am-3:30p
Paid Holidays: New Years, 4th of July, Thanksgiving, Christmas
Patient Care Coordinator
We are looking for that special person who is friendly and personable in greeting our patients. Someone who will make an excellent first impression for our company for patients and visitors by their appearance, manners, knowledge and helpfulness. ESSENTIAL DUTIES
Courteously check patients in and out according to our Customer Service standards.
Must be able to Verify insurance and collect appropriate dues.
Balance and reconcile money collected during your work shift.
Schedule appointments, maintain and update the schedule as needed.
Confirm appointments for providers
Create and maintain patient charts, ensure you have up to date information at all times.
Prepare superbills accurately and in a timely manner.
Follow all HIPPA regulations, keep patient personal and financial information confidential.
Anticipate and respond positively to changing conditions.
Ability to stay focused on what needs to be accomplished while under pressure.
Ability to listen and communicate effectively and kindly while listening to patient complaints.
Keep the front office neat and orderly to maintain our high standards.
Maintain inventory, discuss what needs to be order weekly with office coordinator
Other duties as assigned to assist the overall function
Verify insurance (deductible and copay amounts)
Know the difference between an HMO and PPO
Ability to know the difference between Blue Cross and Blue Shield
Ability to determine Medi-Cal HMO patients requires authorization and should be billed to Medical Group or IPA
Ability to read insurance card and input the correct payer id or payer name and address
Ability to know Military Insurance programs require specific policy info (SS# or 11 Digit id)
Ability to multi-task in an expeditious manner
Ability to know if the payer is contracted with Tax id/NPI
Awareness of completing all patient Demographics to avoid claim rejections
Ability to post copays into EMA
Ability to verify straight Medicare vs Medicare Advantage Plan
Distinguish primary insurance vs secondary insurance
Informs patients of any preparations needed for examination, and reminds them of their preparations at time of appointment confirmation. Obtains all necessary billing, insurance and other demographic information. Assists in scheduling appointments.
Keeps waiting rooms neat, clean and organized. Communicates with those waiting.

Pay: $15.00 - $20.00 per hour
